August 14, 2025, 4 members met at the Golden Valley Library to discuss keeping the files on your computer organized. With our small group, we had lots of time for individual questions.
File Management Made Simple
1. Use Simple, Clear Folder Names
Example: 'Family Photos', 'Taxes 2025', 'Knitting Patterns'.
Avoid names like 'Stuff' or 'Misc'.
2. Save Everything in One Main Location
Use 'Documents' for text files, 'Pictures' for images.
This prevents hunting across multiple folders.
3. Create Subfolders for Projects or Years
Example: Documents -> Finances -> 2025 Taxes.
Keeps related files grouped together.
4. Use Dates in Filenames
Example: 2025-08-12_Birthday_Photos.jpg or 2025-07_ElectricBill.pdf.
Dates make sorting easier.
5. Don't Store Everything on the Desktop
A cluttered desktop slows the computer and is harder to navigate.
Keep only current project files there.
6. Use 'Downloads' as a Temporary Folder
Move important files from Downloads into their correct folder right away.
Empty Downloads periodically.
7. Back Up Important Files Regularly
Use an external drive or cloud service (Google Drive, OneDrive, Dropbox).
Think: 'If my computer vanished today, would I still have my important files?'
8. Learn the Search Tool
Windows: Press Windows Key and start typing.
Mac: Press Command + Space and type to search.
9. Don't Rename Important System Folders
Avoid renaming 'Documents', 'Pictures', or 'Desktop'.This can confuse programs.
10. Once a Month, Do a 'Digital Tidy'
Delete duplicates, move misplaced files, and empty the Recycle Bin/Trash.
This is a relaxed environment to learn something new.
